Salem-Keizer Public Schools Announces New Project to Redesign and Modernize Facility Rentals

Salem-Keizer Public Schools is excited about the upcoming project to redesign our Facility Rentals Department. Over the next eight months, SKPS will be implementing significant improvements aimed at providing a seamless and efficient experience for the community when renting district facilities.

Salem-Keizer students and the community both benefit when groups and organizations can use district facilities, cultivating positive relationships with the community and promoting a vibrant and inclusive environment for all.

Changes to the Facility Rentals Process

We are committed to ensuring that district resources continue to serve the community in the best way possible. The goal of the redesign is to protect and support school infrastructure and equipment for daily student use while adhering to SKPS policy that ensures facility rentals are self-supporting, revenue neutral, and do not create a negative fiscal impact on the district.

The project will include moving all facility use requests to a web-based, paperless system that will give potential renters access to view available spaces and schools in real time when making facility rental requests. Additionally, all policies and procedures including rental fees and classifications are being reviewed and updated.

Dates of Upcoming Changes

  1. Effective January 15, 2024, the rental access badge program will be discontinued. Rental users with a current access badge and valid 2023-24 Winter Season Event Agreement will be allowed to finish the season using their badge to access facilities. No new rental badges will be processed or issued. 
  2. Effective January 15, 2024, all rental users must have a copy of their event agreement on hand at each event or access to the facilities will be denied. 
  3. Effective January 15, 2024, new processing deadlines are being implemented.
    • Youth Sports applications are due 30 days before the season starts and will not be accepted after. 
    • Minimum 3-week processing time for all other Classification B, C, and D requests.
  4. Effective March 4, 2024, NET 30 terms will no longer be offered to Classification B, C, or D organizations. All facility rental use is pre-paid and non-refundable except in cases of district cancellation or declared states of emergency.
  5. Effective March 4, 2024, building use will require a district representative on site for the duration of an event. Unsupervised access to district facilities will no longer be allowed.
