Flyer & Material Distribution

Material Guidelines

1. Provide versions in English and Spanish.
2. Include the following information: 
   • Event name, location, date, and time
   • Contact name, phone number, or email
   • Sponsoring agency’s name
   • Any costs involved (must be free or low-cost for students)
3. Include an all-text version of the flyer as a Word or Google Doc.
4. Use clear grammar and age-appropriate content and visuals.
5. Include this disclaimer on all materials:
   • (English) "This information is provided as a public service for non-school organizations, with the understanding that Salem-Keizer Public Schools makes no recommendation or endorsement of the activity or product represented in this publication."
   • (Spanish) "Esta información se proporciona como un servicio público para organizaciones no escolares, con el entendimiento de que las Escuelas Públicas de Salem-Keizer no hacen ninguna recomendación o respaldo de la actividad o producto representado en esta publicación."
6. For digital materials: If you want your materials shared electronically, please submit an ADA-compliant PDF. Resources are available from:

We cannot share materials that:

• Are offensive, disruptive, or inappropriate
• Violate non-discrimination policies
• Encourage unsafe or illegal behavior
• Promote political or religious views
• Conflict with school curriculum or policies
• Are digital and non ADA-compliant

To submit your materials for review, email to info@salkeiz.k12.or.us with:

1. Your materials (PDF or image format)
2. Your materials in an all-text format (Word or Google Doc)
3. A cover letter (preferably on your organization’s letterhead) explaining:
   • What you're promoting

   • Who you want to reach (e.g., students, parents, staff)

Once received, our Community Relations and Communications office will review your materials. You’ll hear back within one week with one of the following:

• Your materials are approved
• Your materials need edits or clarification
• Your materials are denied (and the reason why)

If approved, we will stamp your cover letter to show that your materials meet our requirements.

Once your materials have been approved:

1. Contact the schools you'd like your materials distributed in to check if they participate in the flyer distribution program. 
2. Print and deliver your materials to the school(s) along with your cover letter showing the stamp of approval.
   • If needed, you can request enrollment numbers when submitting your request to info@salkeiz.k12.or.us.
3. Provide the school with the all-text Word or Google Doc version of your materials.

Schools may choose to share materials in the following ways:

• Send materials home with students
• Display materials on a community table or bulletin board
• Include in the school newsletter or share on ParentSquare (materials must be ADA compliant)
• Choose not to participate in the flyer distribution program
• Please note: Each school principal makes the final decision about sharing materials with their school community
