Print and Mail Operations Lead
DEFINITION
To improve student achievement by directing the workflow of the central print and mail operations,
assigning work to design, produce, and distribute materials for efficient and timely delivery of finished product. Troubleshooting media, postal requirements, and process issues for all orders; directing the internal and external distribution of all print and mail, so materials are provided to customers in a timely and efficient manner.
SUPERVISION RECEIVED AND EXERCISED
Receives direction from an assigned supervisor. Methods of performing tasks are the responsibility of the employee and are to be performed within the established policies or as prescribed by rules and regulations. Work is reviewed periodically to assure compliance to standards and measured results.
ESSENTIAL FUNCTIONS OF THE JOB - May include, but are not limited to, the following:
- Analyzing and implementing continuous improvement processes and systems related to design, print, and mail.
- Promoting and modeling exceptional customer support through producing quality products and services. Monitoring quality of design and production personnel and correcting factors which affect product quality in collaboration with stakeholders.
- Planning and establishing production schedules based on customer requests and production capability, monitoring progress of production, while reviewing and adjusting factors which affect schedules collaborating with department leadership and manager.
- Interpreting and reporting as needed on standing or pending postal regulations and their impact on district mail flow and/or the district postage budget.
- Conducting research and evaluations pertaining to assigned area of responsibility. Compiling, analyzing, and evaluating data. Preparing estimates, specifications, and reports based on such data.
- Conferring with team members on timelines/schedule and quality control of print, mail, and graphic design projects, ensuring finished product meets customer expectation and conforms to USPS and District requirements.
- Coordinating and prioritizing design, print, and distribution workflow for Auxiliary Services Department
- Monitoring work being performed and responding to technical problems and concerns as related to equipment and staff.
- Interpreting work orders and providing assistance and leadership in defining equipment process to be used.
- Responding to and resolving technical issues between design, print, bindery, and mail processes.
- Maintaining required documentation.
- Operating and training others in the use of design software, high-speed copiers, bindery, and mail equipment as needed.
- Assisting in the evaluation of employees working in the design, print, bindery, and mail processes.
- Conducting daily quality control checks.
- Principles and practices of US postal regulations, addressing standards, mail eligibility, and postal discount programs.
- Maintaining regular and consistent attendance and punctuality.
- Performing other and related duties consistent with job description and assignment.
MINIMUM QUALIFICATIONS
Knowledge of:
- Work simplification and prioritization
- Principles of Variable data publishing
- Production scheduling as it relates to design, printing, bindery, and distribution/mailing.
- Principles and practices of printing and mailing.
- Principles and practices of US postal regulations, addressing standards, mail eligibility, and postal discount programs.
- Principles and practices of custom/color printing.
- Operation of high-speed copiers, related bindery and mail equipment.
- Duties and expected capabilities of job classifications under assigned personnel as lead.
Ability to:
- Support the manager and lead a group with assignments under tight time frames.
- Generate positive relationships within Auxiliary services and its customers/clients.
- Maintain records and files as necessary.
- Plan and prioritize workload assignments to meet customer requests and timelines.
- Assess job quality and follow guidelines for corrections when applicable.
- Troubleshoot and correct problems encountered with workflow equipment.
- Promote, model, and maintain effective working relationships with those contacted in the course of work.
- Communicate effectively and concisely, both orally and in writing.
- Operate forklifts, pallets jacks, and hand trucks.
EXPERIENCE AND TRAINING
Any combination of experience and training that would provide the required knowledge and abilities is appropriate. A representative way to obtain the required knowledge and abilities would be:
Experience
Five years of related copy / print and mail experience with at least two years’ experience as a lead worker; and/or any combination of training and experience which provides the required knowledge, skills and abilities.
Training
- Equivalent to completion of the twelfth grade.
- Possession of or ability to obtain (within 6 months) MDP (Mail Design Professional) certification through the United States Postal Service.
- Technical and/or college coursework as it relates to the position is desirable.
- Forklift operation.
Special Requirements
Possession or ability to obtain and maintain a valid Oregon Driver’s License
WORK ENVIRONMENT
- Climate controlled office/production settings with temperatures ranging from mild to moderate cold/heat. Exposure to noise levels from moderate to loud and frequent to continuous time periods. Fast paced, detail-oriented work setting.
- Moderate level of contact with District staff, vendors, and service workers.
PHYSICAL REQUIREMENTS
Frequent reaching, handling, handwork, talking and hearing. Mobility to work in a typical office setting and use office equipment, stamina to remain seated and maintain concentration for an extended period, on feet or moving for 80% of shift. Overtime during busy periods. Hearing and speech to communicate in person or over the telephone.
Vision
Frequent near acuity; occasional far acuity. Vision to read printed materials, computer screens and/or other monitoring devices.
Strength
Medium-Heavy – Exert force of 50-100 pounds frequently and/or 10-50 pounds of force regularly to move objects. May involve significant stand/walk/carry/push/pull activities.
PAY GRADE
Placement upon the Annual Schedule for Classified Employees, Grade 23.
EVALUATION
The performance of this position will be evaluated according to the district process for the evaluation of classified employees.
